Job Description:

Responsibilities of the Benefits Specialist II include acting as the leave program administration for all leave-eligible employees and counseling those regarding rights/responsibilities under FMLA and UF leave regulations and policies. This position will collaborate with other UFHR and campus HR contacts, assist in the administration of the UF Sick Leave Pool, tactfully work with employees and beneficiaries regarding life insurance products, and coordinate with benefit carriers and other UF departments regarding amounts owed to deceased employees.

  • Responsible for counseling faculty and staff regarding their rights and responsibilities when taking leave protected under the Family and Medical Leave Act (FMLA).

  • Review and evaluate confidential medical documentation, and independently judge whether or not the information provided meets the criteria established by federal law, whether further information or clarification is needed from the healthcare provider, or if further guidance is needed from the Benefits Administrator or Employee Relations.

  • Advises employee and department contacts regarding this decision and advises appropriate action or other documentation required to assure that the university is in compliance.

  • Collaborate with other Human Resources Services areas to ensure employees receive pay and benefits to which they are entitled while on or returning from leave.

  • Coordinates requests to begin and return from leave of absence for medical, parental, or personal reasons, both electronically and in paper form.

  • Determines accuracy of requests received and either approves or contacts department for additional or corrected information, based on information provided.

  • Monitors leaves of absence by maintaining accurate, updated records in a database.

  • Proactively contacts departments to determine return from leave of absence date, extension of leave of absence, or termination of employment.

  • Generates and reviews various reports, and performs basic review and audit functions to ensure consistent practice of FMLA, FLSA, and UF time and leave policies within the university, and to assist department contacts in maintaining accurate records.

  • Processes requests to cash out leave, both manually and electronically.

  • Monitors leave cash-outs to leave balances and generates reports in order to terminate leave plans as appropriate when leave has been cashed out and balances have been adjusted.

  • Provides information to employees by phone, e-mail or in person, regarding eligibility for cash out of leave upon termination. Provides estimate of cash out amount, as well as general information regarding the Special Pay Plan as necessary.

  • Under the direction of the Sick Leave Pool Administrator, assists in the administration of the university’s Sick Leave Pool benefit. Counsels employees and department contacts in person, by phone, or through written communication regarding the Sick Leave Pool benefit, eligibility to apply for hours, and the application process. Receives and reviews Sick Leave Pool requests and supporting medical documentation.

  • In collaboration with department contacts, confirms employee membership and accurate leave balances. Calculates dates and hours needed from the Sick leave Pool for each request.

  • Reviews cases with the Sick Leave Pool Administrator, and provides case information to the Chair of the Sick Leave Pool committee for review prior to each committee meeting.

  • Attends Sick Leave Pool committee meetings and acts as liaison between the chair and the committee members by providing historical information on similar cases or other information as requested.

  • Prepares letters for signature by the Chair after meeting, and notifies department contact and employee of the committee’s decision.

  • Actively participates in the development, update, and presentation of training programs, working with the Benefits Manager and Training & Organizational Development team for UF Leave Policy class sessions.

  • Assists with the development of information for the Leave Administration web site, listservs, and print media.

  • May represent UF at meetings and conferences related to UF leave policy.

  • Responsible for coordination and processing of leave and life insurance activities for benefits eligible groups, including Academic Faculty, Clinical Faculty, TEAMS, USPS, Temporary Employees, and OPS employees.

  • Assist active and deceased employees and their families, beneficiaries, and representatives by providing and coordinating necessary information about life insurance claims and disposition of payroll and other amounts owed.

  • Acts as a liaison between UFHR, campus Departments and Units, and benefit carriers to efficiently coordinate benefits and disseminate pertinent information.

  • Demonstrates a high level of empathy, professionalism, and tact while dealing with a broad range of employee life events.

  • Advise employees and/or departments regarding continuation of benefits during an approved leave of absence.

  • Counsels employees about the option of maintaining insurance during an approved leave of absence and calculates premiums based on the leave taken.

  • Develop payment schedules corresponding with the leave of absence to assist with collection of timely payments.

  • Assist with addition of dependents, changes of coverage, etc. resulting from leave of absence.

  • Re-enroll employees upon return from leave.

  • Correspond with employees and vendors regarding premium payment problems.

  • Ensure enrollments/qualifying status changes/terminations are processed in PeopleSoft and with appropriate vendors.

Advertised Salary:

$42,000.00 annually

Minimum Requirements:

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.
