Position Summary This position will support the administrative functions of Payroll and Human Resources that directly affect team members at OK Grocery Company.

Job Responsibilities

  • Serve as the primary backup for processing weekly payroll. Requires a high level of proficiency that will require processing of unionized payroll. Duties include but are not limited to monitoring punch detail, pay report review, overtime & labor reporting, payroll submission, paycheck adjustments, vacation and holiday tracking, meeting established deadlines and to guarantee Team Members receive accurate pay.

  • Facilitate and organize the orientation and onboarding process for all union Team Members at OK Grocery. Scheduling new hires for orientation, preparing onboarding manuals, review policies and procedures, completing new hire paperwork & onboarding, and I9 verifications; conduct new hire follow-up discussions, prepare and issue all new hire materials and coordinate new hire training; follow-up on new hire surveys and conduct exit interviews.

  • Assist with managing of attendance tracking of absences, call offs, tardy and early out of all Union Team Members, maintaining documentation of attendance write-ups, proper disposition of medical documents and doctor's excuses to ensure accurate records are retained for the RSC reference.

  • Assist with Team Member issues, including but not limited to, leaves of absences, payroll discrepancies, contacting the HR department with complaints and concerns, coordination of unemployment documentation and witnesses for hearings, and encouraging open lines of communication with the Distribution managers, Shift managers, Supervisors, Coordinators, and Support to ensure each Team Members' needs are met.

  • Maintain current knowledge and understanding of OK Grocery Collective Bargaining Agreements and DOT regulations as they pertain to Human Resources. Act as a resource for management, union representatives, and Team Members on all policies and procedures.

  • Maintain confidential personnel and medical files for all Team Members and file items as required to maintain up-to-date Team Member records.

  • Maintain team member bulletin boards, flyers, and other forms of communication with relevant and up-to-date Human Resource related information.

  • Conduct policy updates to ensure Team Members and Management are aware of changes by preparing all documents needed to conduct the training including policy training and briefings

  • Schedule & support all facility activities including but not limited to Earth Day, Inclusion & Diversity giveaways, Biometric screenings, flu shots and TMPOV surveys.

  • Adhere to and understand the Collective Bargaining Agreements of OK Grocery to be knowledgeable of all Company policies and procedures.

  • Additional: Coordinate and facilitate HR related training to ensure all Union Team receive proper training, conduct Company directed audits as required; maintain and update various HR spreadsheets; complete HR special projects, as assigned; any and all other duties as assigned.
